Nobody loses money
Who carries the risk, why minimums exist, and what happens before anything is canceled.
If your group does not reach its minimum, final payments are never collected and deposits are returned. You do not owe us anything, and neither does your church.
That is the worry that keeps most pastors from ever starting, so here is exactly how it works.
When you lead an expedition with Christian Expedition, you sign no financial guarantee, pay no deposit, and receive no invoice if the group comes in under target. The contracts with airlines, hotels and coach operators are ours.
Your travelers are protected the same way. Final payments are not collected from a group that has not reached its minimum, and if the expedition cannot go ahead, deposits are returned.
An expedition is priced as a group. Group air contracts, hotel room blocks and coach hire are all priced on a number of travelers, and so are the complimentary places that let the pastor travel free.
The minimum is the number at which that price holds. Your expedition consultant tells you what it is in your proposal, so you know the target before you announce anything.
We watch registrations with you from the day your trip page goes live. If numbers are not landing where they should, we tell you early rather than late, while there is still time to do something about it.
Then we look at the options together. That conversation happens well before final payments are due, and nothing is canceled without talking to you first.
Most of our church groups travel with 20 to 50 people, and we can arrange smaller groups as well. Tell us the size of group you realistically expect and we will build for it, rather than for a number you would have to stretch to reach.
Groups rarely fall short because of the destination or the price. They fall short because the church was told about a trip rather than invited on one, or because promotion started too late.
Most groups start planning eight to thirteen months out, and waiting is the most common mistake we see. How to promote your church trip sets out what works.
No. There is no financial guarantee from the pastor or the church, and no invoice for a shortfall.
No. If an expedition does not reach its minimum and cannot go ahead, deposits are returned and final payments are never collected.
Well before final payments are due 90 days before departure. We keep you updated on registrations throughout, so it is never a surprise.
Often, yes. We can arrange smaller groups, and the earlier we know your expected size, the more options there are.
Tell us what you have in mind and how many people you expect. We will tell you honestly what is realistic before you commit to anything.
